The following booking conditions are applicable to all trips conducted by the Company:
When booking your trip with Asian Expedition Pvt. Ltd., we require a photocopy of your passport and a non-refundable booking deposit of 30% of the total amount per person. The remaining balance can be paid upon arrival at our office; full payment is mandatory before the trip’s departure. For last-minute bookings made less than a week in advance, the full amount must be paid as an advance.
These Booking Terms and Conditions.
It is vital that you read and understand them thoroughly. They form a legally binding agreement between the company and you for the services provided by the company/agency and establish the foundation of your legal relationship with the Company/Agency.
Deposits are required per person for each trip.
For details on direct deposits, please contact us. A bank service charge may be applicable and should be paid at the time of deposit.
For credit card payments, please contact us. We accept only Visa or MasterCard, and a 4% surcharge will be added for the card processing fee.
The remaining balance must be paid at least 20 days before the trip departure date. The Company reserves the right to cancel your trip if the full amount is not paid on time.
We will try to accommodate your last-minute bookings, which are accepted up to 10 days before the tour departure date, with full payment required at that time.
Cancellation & Booking Changes:
(I) A written cancellation notice is required at least 20 days before the trip departure. The notice period starts from the day the notice is received. Cancellation will be considered valid upon the company’s approval after receiving the necessary documentation. The trip will then be considered cancelled, and a cancellation fee of 30% of the trip amount will be deducted from the advance paid.
(II) No refunds will be given to clients who provide less than 20 days’ notice before the trip departure or if a passenger leaves the trip for any reason whatsoever.
Incomplete Tour
No refunds will be provided to clients who withdraw from the journey, regardless of the unused portions of the itinerary.
Passport and Visas
All clients must possess a valid passport with a minimum of 6 months validity from the return date. Nepalese visas can be acquired from the Nepalese Consulate in your country or upon arrival at Kathmandu Airport. The cost of Nepalese visas is the sole responsibility of the clients.
Travel Insurance
Travel insurance is mandatory for all clients undertaking any tour. It should offer sufficient protection throughout the tour to cover personal injury, death, medical expenses, repatriation expenses, helicopter rescue, air ambulance, and adequate baggage coverage.
Health & Fitness
All our Nepal tours and treks demand a certain fitness level; therefore, you should consult your local GP about your health and fitness before traveling. You must be in good health and physically fit to participate in a trip with us. If you have pre-existing medical conditions, you must seek advice from your doctor before booking with us. For those joining one of our extended treks, we highly recommend a comprehensive medical and dental check-up before departure.
Mountain Flight Delays in Nepal
Adverse weather in the mountains can lead to flight delays. This primarily affects Jumla (Simikot), Juphal, Jomsom, Lukla, Tumlingtar, and Taplejung in Nepal. Some of our trekking and expedition programs include extra days in Kathmandu at the end of the trek to accommodate delays. In case of an extended delay, it may be necessary to reroute the trek. If you experience delays at the aforementioned airstrips beyond the itinerary, we will cover your accommodation and food costs on a standard trek basis, or you may opt for a helicopter charter flight to Kathmandu at your own expense. We do not accept responsibility for any charges incurred as a result of missing your international flight.
